One of the most common questions I get from property owners is some version of: "What software do I actually need?"

The honest answer is: it depends on where you are. But there's a framework that works at every stage, and getting it right early saves you enormous headaches later.

Start With a Proper PMS

If you're serious about short-term rental hosting — even with one property — the first thing you need is a property management system with a channel manager.

Layer In Dynamic Pricing

A flat nightly rate is leaving money on the table. Full stop.

Dynamic pricing tools pull in demand signals — local events, competitor rates, booking lead time, seasonal trends — and adjust your rates automatically. The difference between a static rate and a well-calibrated dynamic pricing strategy can run to tens of thousands of dollars annually in high-demand markets.

If you're evaluating property managers, ask them what they use for revenue management. If they don't have a clear answer, probe deeper — maximizing your revenue is their primary job.

Use Data Before You Buy (or Add Amenities)

The cowboy pool at our Driftwood property wasn't a gut decision — the data showed that properties with pools or hot tubs in that market were generating approximately $6,000 more annually. The pool paid for itself.

The #1 reason guests leave bad reviews is cleanliness. The #1 reason owners burn out is maintenance chaos. Both are solvable with the right systems.

At 27 properties, this is non-negotiable. But even at two or three properties, having a system beats keeping it in your head.

Right-Size Your Stack

I always tell owners: right-size your tech stack to where you are. You don't need enterprise software at one property. But if you're planning to grow, you want systems that scale with you.

Start with a PMS. Add dynamic pricing. Use data to make decisions. Systematize operations. That's the stack.
